Making a weekly calendar will be very beneficial for you to remain organized and remembering due dates, meetings, and other obligations.

A goal without a plan is just a wish - Antoine de Saint-Exupéry

An effective weekly schedule should have all the necessary details about your schedule so that you can make changes at your convenience. Here I have described 10 points that will help you design an effective weekly calendar:

1. Have a clear understanding of what you want to achieve

Make sure you are clear about the goals for the week before you begin to develop a weekly schedule. It’s essential to be crystal clear about your objectives, so that you may properly monitor your progress, Your goals should be clear and measurable. The chores that will assist you in achieving your short-term and long-term objectives might be included while you’re making a weekly calendar.

5You make keep the following questions in your mind:

  • What results do you hope this calendar will provide?

  • How does it accomplish its mission?

  • In what ways does it aid in your goal-achieving?

For instance, you can block a slot in your calendar for a presentation at work that you need to finish in a week. You’ll be able to focus and remain on course with this by creating and maintaining a list of your goals.

There are dreamers and there are planners; the planners make their dreams come true -

2. Identify your biggest distractions and bottlenecks to make an

effective weekly schedule

Determine your major distractions and bottlenecks if you want to create a weekly schedule that is effective. Try asking yourself the following questions to yourself:

  • What do you find the most challenging?

  • Which tasks are continually put off?

  • What prevents you from being effective time and time again?

Discovering what prevents you from being as productive as you would like to be is the first step in building a weekly plan that works. You need to assess your existing circumstance and identify what is keeping you from accomplishing your objectives. You should then schedule your week in accordance with your priorities.

For instance, if you want to be a software engineer, in the beginning, you don’t have great knowledge of programming languages. In such cases mastering programming language as per your company’s requirement should be your priority.

3. Deep work & Shallow work

First, let’s understand what Deep work & shallow work are:

Deep Work: Deep work is the work that you must do without any distractions. E.g.: Analyzing data, If you are a coder, it can be coding, if you are a content writer it can be writing thoughtful content, Research, etc.

Shallow Work: Shallow work is work that you can do with little distraction. E.g.: Meetings, checking emails & writing emails.

According to your job, you should know what the deep work & shallow work is for you. On days of high productivity (days after a holiday or vacation) or during the initial working hours of the day, should be allocated to the deep work as you have a higher focus that improves your performance. Taking into consideration, the 80:20 principle you may allocate at least 20 percent of your working hours as focus time or time for deep work.

4. Good Balance between Personal & Professional life for an effective weekly schedule

A healthy and successful lifestyle depends on striking a suitable balance between your personal and professional life. They represent the two sides of the same coin. You may maintain your focus and motivation at work by engaging in hobbies, creative projects, and a well-organized routine. Like how maintaining flawless harmony between your personal and professional lives will assist you in finding a good work-life balance. It’s crucial to plan your work so that it doesn’t obstruct your personal time. Your profession is also as vital as your family and friends.

In your calendar, you can put a slot for personal things which you love to do, like spending time with your family & friends. and build new habits like swimming, driving, and playing guitar. These activities will help you learn new things and keep you excited.

5. Context Switching

Avoid switching tasks while working deeply because you will need to recall all you’ve done, which will waste time and reduce your output. For Instance, while installing a server once you complete some portion of the installation and then move on to another task. You’ll need to keep track of every step when you come back to complete the installation, and you might need to access subfolders. Your time will be lost as a result.

If you’re doing shallow work, you can switch to another one or decide that another activity is more urgent than this one. Once you’ve completed the other task, your mind will be free and you can pick up where you left off with your prior task, for example, the first reply to an email and then resume your blog writing work again as writing an email will take less time & your mind will be free that you have done one task.

6. Health & Exercise Slot

Keep aside one time each day for physical exercise, which can include yoga, running, or playing any outdoor game. Generally, some people in their 20s don’t pay much attention to their health. However, over time, it has an impact on both your physical health and your work life. Because you can’t work more effectively, and your productivity will decline if you don’t have good health.

7. Be specific & detailed with your task rather than brief

You should have a distinct vision for whatever work you undertake the next week. It should be written in great depth. For instance, if you wish to study Python, you might randomly add a Python slot each day. You won’t be able to do it, I assure you. The sub-topic should be used to deliver the Python course. Put the topic you’re intending to discuss in each day’s slot, along with a link to it, in the description. Consequently, without wasting time looking for the topic, you will navigate to the topic.

8. Focus on small improvements rather than end results

Your planning and schedule must remain constant. You must use your calendar with perseverance and consistency. Keep your attention to little advancements and make necessary adjustments. A weekly schedule’s efficacy is determined by how well it is created. You should concentrate on little improvements in your weekly schedule, like losing weight. We all know that losing weight takes time and is not something that can be done in a week. Maintaining a time slot for the gym and going there frequently may enable you to see some weight loss after one or two months.

9. Record the results at the end of every week

One of the most crucial things you can do while making a weekly schedule is to keep track of your progress. This will assist you in evaluating your development and maintaining accountability for your accomplishments. At the end of each week, you can update your weekly schedule to note the outcomes. As an alternative, you may make a different calendar slot specifically for tracking your progress. This will enable you to take stock of your recent accomplishments and keep you motivated as you prepare for the coming week.

10. You can keep a slot for miscellaneous activitiesfor an effective weekly schedule

We occasionally receive jobs at random that we must complete immediately without prior notice. You already made a weekly assignment, and it will affect your schedule if you complete a task that was randomly assigned to you. As a result, you ought to reserve at least 30 minutes for other activities. So you can complete the task in this time slot. for instance, going to an urgent meeting.
